What's new in GastroOS

New features, improvements and fixes – day by day. An entry appears once the change is live for you.

  1. Correcting a wrong temperature reading and a HACCP alert that clears once handled

    New

    • HACCP – correct a reading: a typo in a temperature entry (e.g. 4 °C instead of 300 °C for the oven) can be fixed with Correct in HACCP → Temperatures or Correct reading in HACCP → Alerts. Enter the right value and a reason. The wrong entry stays in the register, struck through – with who corrected it and why, also in the inspection export – and alerts and summaries count the corrected value. You can correct your own entry for 24 hours; someone else's or an older one is corrected by a person who manages HACCP.

    Fixed

    • Today – "Needs attention": an out-of-range temperature disappears from the list once someone reacts – opens a corrective action or corrects a wrong entry – instead of staying until the next day.
    • HACCP → Alerts: an open corrective action has a Close button – describe what was done and it stops hanging in alerts.
    • Pizza oven temperatures: a reading above 300 °C (e.g. 320 °C) is saved normally – it used to be rejected as impossible.
  2. Alerts, OScar model choice, a calendar with a daily agenda and profile photos

    New

    • Alerts: owners and managers choose when and whom the system should notify – with the in-app bell, a push notification on the phone or an e-mail. An alert reads like a sentence, e.g. “When the opening checklist isn’t done by its deadline at the Mokotów location → notify Anna”. You’ll find them under Operations → Alerts, together with recommended alerts you can turn on in one click and a history of what happened, when and where, and who was notified.
    • What can trigger an alert: a late clock-in, a no-show, nobody starting a shift on a position (e.g. no cook in the morning), the same person being late repeatedly, a missing clock-out, a checklist not done or done after its deadline (opening, closing, HACCP or a specific one), an overdue task, a temperature out of range, a rejected goods delivery, a cash difference, sales lower than usual, low revenue yesterday, a till that stopped sending data, many waiting or late orders, requests waiting for a decision and a poor guest review.
    • No notification flood: one issue means one alert, and turning an alert on doesn’t send notifications about things from the past. Notifications only go to people who have access to the location and its data. Everyone can turn off push or e-mail for alerts in Settings → My account – the bell stays. We keep the alert history for 180 days.
    • OScar – model choice: in the AI settings you choose how accurate the assistant should be: Auto (simple questions on the cheapest model, everything else on Standard), Fast, Standard or Most accurate. Below the message box you can see which model is answering and how many AI tokens the conversation and the month have used.
    • OScar – conversations: conversations have titles, messages show the date and time, and answers appear live as they are written. When you start a new topic or a conversation gets long, OScar suggests a new conversation – “Move to a new conversation” takes a summary along, so answers are faster and cheaper.
    • OScar knows the Help Center: “how do I…” questions are answered from help articles, with article cards below the answer – open them in the panel or in a new tab.
    • Help Center: more than 150 step-by-step articles with screenshots. New: topics, search suggestions, a “Copy for LLM” button and a contact form at the bottom of help pages. The Help (?) panel in the app has categories and searches as you type.
    • Calendar – daily agenda: day tiles are lower and say in words what’s going on (“2 tasks”, “1 fault”, “3 payments”), with overdue items in red. Click a day to see what needs handling – checklists, faults, equipment and vehicle inspections, leave and absences, invoices to pay – with links to the right screens. The “Show in calendar” filter (which is also the legend) remembers what you want to see.
    • Profile photo: employees add, change or remove their own photo in Settings → My account and decide whether to show it on the tips page. Managers can only remove a photo (in the employee profile, More menu). The photo shows on the employee list, in the HR table, in the profile and in the menu – without a photo, the initials circle has a fixed colour for each person.
    • Deactivate / Activate account: in the employee menu on the Employees list you can pause someone’s access without deleting them – they are signed out, can’t clock in at the kiosk, drop out of schedule planning and the subscription, while their contract and data stay. Activating restores access.
    • Attendance list – time counted by the schedule: in the location’s time-clock settings you set separately when working time starts and ends counting – from the clock-in/out, or not before the start and not after the end of the scheduled shift. Payroll, labour cost and the Attendance list all count this way.

    Improved

    • Attendance list: one “Edit” button fixes clock-in and clock-out in a single window, a purple “No clock-out” marks a forgotten clock-out, and the bar shows counted time next to time from clock-ins. The clock-in photos tab is gone – the photo is shown with each clock-in.
    • Single location: with one location, the top of the menu shows the location name, and the switcher offers “Add location”. After adding a second location, mail sent to the company address goes to the first location – the Locations screen says so plainly.
    • Inbox: has its own item in the Finance menu and in search (Ctrl+K), in the phone app too.
    • HR table: fits on a laptop with one line per person – e-mail under the name, PIN and time-clock card in one column, “Invite” next to the role of a person without an account.
    • Review analysis: the chart updates while the analysis runs, the queue doesn’t stall or count reviews twice, and you choose the period yourself – from 30 days to the whole history or a custom range.
    • Information pages: pasted Markdown text (e.g. from ChatGPT) turns into headings, lists and tables.

    Fixed

    • Employees: deleting and merging people works again.
    • Onboarding: in the “My details” step, “Done” saves the form and completes the step – no separate “Save details”.
    • OScar assistant: the chat no longer freezes on an answer with an incomplete table.
    • After an update: a tab opened before a new version was deployed reloads by itself instead of showing raw text keys.
    • Listing: a phrase can be removed from the Rank map, and an error loading locations no longer shows “Add a location first”.
  3. Role materials, Help Center, pay advances and new e-mails

    New

    • System status and changelog: the /status page shows whether all services are working, uptime over the last 90 days and current and past incidents and planned maintenance. This changelog is linked in the site footer and, in the app, in the Help panel as “What’s new”.
    • Help Center: a public library of articles with search and categories. In the app, the Help (?) button in the top bar shows articles for the screen you are on.
    • Company info pages: owners can create their own pages, e.g. loyalty programme terms. They appear in the footer of the QR menu and loyalty programme, have a public address and a version history with an effective date (Settings → Info pages).
    • Role materials: managers prepare materials for each role – formatted text or content read from a file with AI – choose who should read them and see who has. Employees read and confirm them under Team → Materials, on the phone too. Location managers prepare materials for their own locations.
    • Onboarding: onboarding steps can be added and edited – with required fields, a due date and a starter task. The “Read and confirm” step points to a role material, so the content lives in one place.
    • Checklists: dispute a completed item with a comment (−5 points for the person who did it). Employees see the history of their checklists and comments on disputed items.
    • Scoring rules: owners and managers set how many points each activity earns, switch rules on and off and set limits. New: an on-time streak and a lateness penalty.
    • Planned tasks: each person has a queue of tasks they cannot see yet. Release them in one move, or let the system add the next ones up to a limit you set. Tasks can now also be deleted (with Undo).
    • Payroll – advances: an advance sits next to bonuses and penalties, in its own column, and is deducted from the amount to pay.
    • Costs without an invoice: in Costs you can add, correct and delete a cost that has no invoice.
    • Purchase invoices: “Undo approval” and a change history on the invoice card.
    • E-mails: new messages in the GastroOS look, sent in the recipient’s language (choose it on invitations, invoices, offers and tips). Owners can see the company’s sent e-mails in Settings → Sent e-mails.
    • Account: password reset by e-mail (“Forgot password”), a welcome e-mail and e-mail address confirmation.
    • Google ranking: track keywords (10, 20 or 30 per location, depending on your plan) and see your position in Google Maps and in search results, the trend and the strongest competitors on the map. Rankings refresh once a day, and a new keyword is checked right away.
    • Google listing data: see where your Google listing differs from your GastroOS profile and take the phone number, website or opening hours from Google in one click.
    • Deleting your account and company data: delete your account in the app – on the phone too, which also gets “Forgot password”. Access is blocked at once and the data is deleted after verification, within 30 days at the latest. Owners can download a company data export and close the company account in Settings → Subscription → Company data (this can be withdrawn until the data is deleted).
    • Menu reports: sales by item size, rankings within POS categories and what guests order together.
    • Location visibility: this week’s tasks – what to do to make your location easier to find; visibility in AI and voice assistants, comparing what they say with your data; duplicate listings in directories; post ideas from a calendar of occasions that go straight into the post editor.
    • Reviews: pagination, search and filters by stars and by topics from review analysis.
    • Deliveries: deliveries by weekday and hour – for planning the schedule – and driver staffing day by day.
    • Schedule PDF: the printout looks like the grid in the app – person × day, hours in role colours.

    Improved

    • Schedule: the grid uses the full height of the screen and hours with minutes fit on two lines.
    • Tasks: a compact board, completed tasks from the last 30 days and comments with formatting (bold, lists, links).
    • Listing: a full location description of up to 750 characters with a counter; the Visibility screen shows directories and the data we publish, and refreshes by itself.
    • Ranking: “My points” shows the breakdown even when the total is zero, and your place in the ranking when the score is negative.
    • Search (Ctrl+K): checklist history is available to employees too.

    Fixed

    • Listing: the position map opens without an error, Google keywords are added right away, the Social page works and analytics shows daily Google data instead of an empty screen.
    • Reviews: reviews already answered in Google no longer wait as “to handle”, and the source buttons show the total number of reviews.
    • AI visibility: no result from the provider now reads “still calculating”, not 0/100.
    • Result: tiles no longer overlap the period description.
    • Chat: a clear message when a conversation cannot be moved to the archive.
